Overview
The Hotel/Guest Mode feature allows you to create a group of users/extensions with a unified base configuration. This setup is useful for environments such as hotel rooms, school classrooms, or other places where phones are not used regularly like those of office staff.
Use Cases
Hotel Rooms: Set up phones in hotel rooms with consistent configurations and speed dial options for reception, room service, and housekeeping.
Temporary Office Spaces: Manage phones in temporary or shared office spaces with a standard setup, ensuring ease of use for all users.
School Classrooms: Configure phones in classrooms to have quick access to the main office, security, and other essential contacts.
Enabling Hotel/Guest
To turn on Hotel/Guest for an office, you must first enable the Hotel/Guest Application
To do this, press “Manage Applications” from the Configuration page.
Scroll down until you see “Hotel/Guest” and tick the box to enable it.
Adding Hotel/Guest extensions to the office
From within the Hosted PBX portal, under Active Applications, click “Hotel/Guest Access”.
From here you will be able to update the configurations of your Hotel/Guest phones.
- Friendly Name: Name of the office. This is just for your reference.
- Timezone: Timezone of the office.
- Hotel/Guest Outbound Number: Outbound Caller ID of the phones.
- On Hold Music: On Hold Music used if the extension puts a call on hold.
- Line Key Configuration: Line keys that are to be configured on the handsets.
Create or Modify Hotel/Guest Extension
Once the Hotel/guest application has been enabled, you will be able to add extensions to the new office.
Navigate to “Offices & Users” from the Configuration page.
You should now be able to see your newly made hotel/guest office.
- To Add a new extension, click the green
button.
- To Delete an extension, click the
button.
- To Modify an extension, click on the 'Extension Name'.
Extension Settings
When configuring a regular extension there are a lot of options available, however, the Hotel/Guest Extensions have fewer settings required to be configured.
- Assign the extension a 3 OR 4-digit extension number and a 'Name'.
- You can use the password provided, or press
button.
- To view the password, you will need to enable 2-factor authentication on your PBX login.
- By default the 'Extension Ring Time' is set to 40, however, you can adjust this in increments of 5 seconds to a total of 60.
Note: The 'Extension Ring Time' configured here is only relevant when the extension is dialled directly and not part of a group of other phones.
Auto Provision
Allows the Hosted PBX to automatically generate the handset configuration for your phones.
